Understand the importance of data hygiene in your system. Recognise the need to archive or delete irrelevant records to streamline processes.

πŸ“ŒNote: Before archiving or deleting a record, please ensure you're aware of the risks once deleted or archived.

For Candidates

First, set a search to target records for archiving. For candidates, look for those marked as to be forgotten due to GDPR consent.

To archive candidates, use the Archive Candidate template.

To do this:

  1. Log in to your account, then click Automations.

  2. Click + New Automation.

  3. Enter the name of your automation.

  4. Click Next.

  5. Select the Bulk Archive Candidates (GDPR) template.

  6. Click Create.

The templates include a pre-built search and steps, but you can make adjustments as needed.

For Contacts

Before using the Delete Contact template, create a search to target the contacts for deletion. For contacts, identify those moved to the rejected stage in the CRM pipeline.

To delete contacts, use the Delete Contact template.

To do this:

  1. Log in to your account, then click Automations.

  2. Click + New Automation.

  3. Enter the name of your automation.

  4. Click Next.

  5. Select the Bulk Remove Contacts/Clients template.

  6. Click Create.

The templates include a pre-built search and steps, but you can make adjustments as needed.

πŸ€“Tips:

  • Regularly schedule data hygiene checks to prevent backlog accumulation.

  • Use detailed search criteria to minimise the risk of archiving or deleting the wrong records.

  • Consider integrating outreach efforts as part of the automation process to engage with older records before deletion.
