How does creating or cloning automations affect Candidate Processing?

With Automations in Access Automate, you can manage candidate interaction workflows efficiently.

However, understanding the implications of creating or cloning automations, particularly regarding candidate progress and search settings, is crucial for maintaining effective processes.

Managing Candidate Status when creating new automations

When you create a new automation in Access Automate, if you use the same search link as an existing automation, candidates restart the automation steps from the beginning.

However, candidates currently in a pending state within the original automation will be skipped. Candidates marked as 1st are directed through the if already connected branch, ensuring no duplication in their progress.

πŸ“ŒNote: To avoid overlap or confusion, we recommend using a fresh search link when setting up a new automation, which can also improve response rates and streamline workflows.

Run Cloned Automations without affecting original candidates

Cloning automations is a useful way to replicate existing workflows, but you need to carefully manage candidate filtering to prevent unintended disruptions:

When cloning an automation, ensure that the search includes updated filtering criteria (e.g. work start date or other parameters). This ensures that candidates already processed in the original automation are excluded from the new one.

If the search is cleared in the original automation, only candidates who are already part of the ongoing steps remain, allowing the original workflow to continue seamlessly while including new candidates in the cloned automation.

Best Practices for Automation Management

To optimise workflows and ensure candidate experiences remain smooth:

Use Unique Search Links

Avoid reusing search links between old and new automations to prevent restarting candidate workflows unnecessarily.

Filter Candidates Thoughtfully

Apply appropriate filters to include only relevant candidates in new or cloned automations.

Monitor Automation Progress

Regularly check the status of candidates in pending states or specific branches to avoid inconsistencies and ensure all candidates are processed appropriately.
